Sending Statements for Overdue Balances

If clients fall behind in paying you, you can send them statements showing any unpaid invoices and the current amount due.

You have two options for creating statements: BillFlow Manager or Statement Report.

Sending Statements with BillFlow Manager

BillFlow Manager has the advantage of allowing you to automatically select Matters with Balances Due. Then you can print or email the Statements en masse. These Statements are limited to showing the current outstanding balance.

When you open a BillFlow Collection, it sifts through all the Matters, selecting those with unbilled Time and Expense record and also those with outstanding balances and transactions that have not been billed.

The following screenshot shows how to select Matters that have outstanding balances and do not have any current, unbilled Time and Expenses:

  1. Click in the middle of BillFlow Manager and press Ctrl-T to Tag All the records.

  2. Click the right edge of the Process button.

  3. Click on Calculate Bills.

  4. Click on the word, Total, to sort. Matters with outstanding balances and zero current, unbilled fees appear with $0.00 Totals (highlighted above).

  5. Press Ctrl-U to Untag All the Matters. Use the mouse to click the Checkbox by each Matter with a $0.00 Total.
    Alternatively, you could leave all the Matters checked and bill out all of them, creating Invoices/Statements for Matters with outstanding balances and for Matters with current, unbilled fees and expens

Proceed by pressing the Bill button in the icon bar of BillFlow Manager.

Create a Statement for a Matter with an Outstanding Balance

You can easily create a Statement for a single Matter using the Statement report in Standard Reports.

The Statement lists information for one Matter:

  • Invoice, Payment and Transaction Dates

  • Invoice Numbers

  • Invoice, Payment and Transaction Amounts

  • Current Balance

To create a Statement:

Go to: Time Matters Main Menu / Reports / Standard Reports / Transactions

  1. Click on Filter.

  2. Choose a Date Range for the Statement.

  3. Click the Lookup button for Matters

  4. Choose a Matter

Press the Preview button (not shown) to see how the Statement will appear.

You may print or save the Statement as a PDF file and send it out.
